How does booking with eventas work?

You submit a non-binding request and we send you a quote within 24 hours. After your confirmation we post the job in the eventas app and present you with a curated selection from the applications. On request, you can get to know your favourites by phone or video beforehand. You then hold the briefing together with the booked staff in a WhatsApp group. Is an enquiry binding?

No. The enquiry is non-binding and creates neither an obligation nor an order. The quote you receive from us is also non-binding.

What information do you need for a quote?

Please tell us the name of the trade fair or event, the date, the location, the number of staff you need and any special requirements, for example language skills or professional qualifications.

How quickly will I receive a quote?

Within 24 hours. The quote is tailored to you, includes a clear breakdown and shows no hidden costs.

How short-notice can I book staff?

Short-notice bookings up to a few days before the assignment are generally possible. For major fairs such as IAA, IFA or Hannover Messe we recommend a lead time of 4 to 8 weeks so that you can choose from the best possible selection.

For which events can I book staff?

Accepted Answer

For trade fairs, congresses, corporate events, product launches and promotional campaigns in Germany, regardless of location, industry or size. This ranges from single bookings to teams of over 200 people. You will find current dates in the trade fair calendar.

How does staff selection work?

We post the job in our own eventas app. Suitable candidates apply, many with a video profile. We curate the applications and present you with a personal selection. You decide who is booked.

Can I get to know the people beforehand?

Accepted Answer

Yes. Many applicants introduce themselves by video, so you can see and hear the person in advance. On request we also arrange a non-binding introductory call by phone or video before you make the final booking.

Do I have to choose the people myself?

Accepted Answer

No. You can decide yourself or leave it to us. In that case we create a booking proposal based on our experience from previous assignments and present only candidates who have already proven themselves.

Can I brief the staff before the assignment?

Yes. After the selection we create a WhatsApp group with you, our team and the booked staff. There you can communicate directly, share briefing materials and settle the final details.

Which languages does the staff speak?

English is standard for all eventas staff. Subject to availability, people with skills in Spanish, French, Italian, Mandarin, Arabic and other languages are available. Moderators work in German, English and other languages.

What kind of staff does eventas provide?

Accepted Answer

Hostesses and hosts, promotional staff, models and model hostesses, moderators, walking acts as well as service staff, waiters and bartenders. If you need several types of staff, we coordinate your entire team and remain your single point of contact.

How do I book moderators?

Based on your requirements we provide suitable profiles. On request you receive showreels, references or voice samples. We advise you on narrowing down the choice, and the final decision is yours. Moderation is also possible for digital and hybrid formats. You will find more under Speakers & Moderators.

Can you staff large teams?

Yes. Our references range from 40 to over 200 staff, for example over 200 at bauma 2025. We coordinate through our personnel software and the eventas app, with team leaders and project management on site. We can also staff large-scale projects with just a few days' notice. Do you provide service staff without catering?

Yes. Of course we also provide service staff, baristas and bartenders independently of catering.

Where does eventas operate?

Accepted Answer

Nationwide. Our focus cities are Berlin, Düsseldorf, Frankfurt, Hamburg, Hanover, Cologne and Munich. There we staff with local personnel. Our offices are in Füssen and Düsseldorf.

Are there travel and accommodation costs?

Not in our focus cities. Because we staff there with local personnel, no travel or accommodation costs are incurred. This saves a considerable amount on multi-day assignments.

Do you also provide staff for assignments abroad?

Accepted Answer

We provide staff from Germany. For assignments abroad, for example in Austria, you therefore need to plan for travel costs from Germany and, if necessary, accommodation. Please ask us directly about such assignments.

What does the booking cost?

The price depends on the type of staff, the duration of the assignment, qualifications and language skills. After your non-binding enquiry you receive a transparent calculation without hidden costs within 24 hours.

What payment methods does eventas accept?

You can pay by bank transfer or credit card. Cash payments are not possible.

What happens if someone cancels at short notice?

Accepted Answer

If a person cancels after your selection, we immediately prepare a new selection. In the case of very short-notice cancellations shortly before or during the assignment, our money-back guarantee applies.

What does the money-back guarantee include?

In the event of short-notice cancellations we provide qualified replacement staff. If you do not want replacement staff, you can withdraw from the booking free of charge and receive your money back. The guarantee is included as standard at no extra cost.

How are large-scale projects protected against cancellations?

We secure the agreed staffing of your project against staff cancellations. Team leaders and project management on site manage the assignment and keep the staffing stable. We agree the details with you in the quote.

Question 24

Does eventas hold a temporary agency work permit?

Accepted Answer

Yes. eventas holds a valid permit under § 1 AÜG (German Temporary Employment Act), issued by the Federal Employment Agency. You receive a copy on request before the contract is signed. More under Temporary agency work for exhibitors.

Question 25

Do we as exhibitor need a permit ourselves?

Accepted Answer

No. The permit is required of the agency that supplies the staff. As the hirer you should ask to see the proof before the assignment. eventas provides you with the copy on request.

Question 26

Who is the employer, and who gives instructions at the stand?

Accepted Answer

eventas is the employer of the assigned staff and is responsible for wages, payroll and social security contributions. You as exhibitor give the operational instructions during the assignment.

Question 27

How long may the same person be deployed with us?

Accepted Answer

Up to 18 consecutive months. Collective agreements may extend this period. For trade fair assignments this is generally irrelevant.
